Fetch supplier receipts for Pleo

Finds missing receipts for one supplier in email, matches them to Pleo expenses, and attaches each PDF to the correct transaction.

From now on, fetching one supplier’s receipts and attaching them to the right Pleo transactions is one ask.

This workflow was taught once. Every run repeats the same steps, in order.

  1. 01

    Collect the supplier’s Pleo errands

    Opens Pleo’s errands list and collects every missing-receipt transaction for the requested supplier, including each amount, currency, and date needed for safe matching.

    Open Pleo in the browser and log in if required. Start from the Pleo expenses home page and open the card or link labelled Du har x ärenden to enter the to-do list; do not use a saved employee-specific URL. In the to-do list, identify every transaction for the supplier provided by the user. For each one, record the supplier name, exact amount, currency, and transaction date shown in Pleo. Process all currently listed transactions for that supplier, not expenses from other suppliers.

    Find the matching receipt emails

    Searches the two Gmail accounts in the agreed order for receipt emails from the supplier, using the Pleo amounts and dates to locate the right messages.

    Open Gmail and search the work account david.bacelj@norditech.se first for the supplier name. Review candidate receipt emails and compare their supplier, amount, currency, and date with the Pleo transactions collected in the previous step. If not all matching receipts are found, switch to david.bacelj@gmail.com, repeat the same supplier search, and inspect the remaining candidates. Do not treat a search result’s position as meaningful. Match supplier plus exact amount and currency first; when identical amounts occur more than once, use the transaction date to select the correct receipt. If no exact match can be established, leave that Pleo transaction unchanged and add it to the final report.

    Download each receipt PDF

    Downloads the matched receipt PDF from its email, following the supplier’s receipt link and signing in when necessary.

    For each exact email match, obtain the PDF. If the message contains a PDF attachment, download that attachment. If it contains a receipt link such as Ladda ned PDF, open the link. If the supplier site asks for authentication, use the sign-in method associated with that supplier account; pause for the person only when the browser requires credentials, 2FA, biometrics, a passkey, or another human-only login step. After login, continue through any consent screen and allow the receipt PDF to download. Confirm the browser shows the PDF download as complete before continuing. Do not browse the supplier’s website independently when no matching receipt email exists.

    Attach receipts to Pleo

    Opens the exact Pleo transaction and uploads its matching PDF through the required receipt area without changing any other expense details.

    Return to Pleo’s to-do list and open the transaction matching the downloaded PDF by supplier, exact amount, currency, and date. In the transaction’s Info panel, locate the required receipt area labelled Lägg till kvitto and upload the downloaded PDF using its plus button or file chooser. If the browser exposes a direct file-upload control, set the downloaded PDF on that control rather than dragging through Finder. Wait for the upload to finish. Do not change the category, purpose, comment, approval, attestation, or any other expense field. Repeat for each exact receipt match.

    Confirm the errands disappeared

    Checks Pleo after every upload to ensure the completed transaction leaves the errands list, then reports any receipts that could not be matched.

    After each upload, return to the Pleo expenses home page and reopen Du har x ärenden. Confirm the transaction just handled no longer appears in the to-do list; disappearance of the entire transaction card is the success signal that its missing-receipt warning cleared. If it remains, treat the upload as unsuccessful, do not attach another file to it, and report it. At the end, report which supplier transactions were completed and list every skipped or unsuccessful item by date, amount, and currency with the reason. A smaller errands count may support the check, but the definitive check is that each intended transaction disappeared from the list.

Matching rules

Only attach a receipt when its supplier, exact amount, and currency match the Pleo expense. If multiple receipts share those values, use the transaction date to distinguish them. Never attach a closest-looking receipt; skip and report anything that remains unclear.

Boundaries

This workflow supports PDFs attached to emails and receipt links in emails, including links that require logging into the supplier’s site. It does not search a supplier’s website independently when no receipt email can be found.
