Using Incredible
Teach a task
You can show Incredible a job by doing it yourself. Turn on hands-free, do the task the way you always do, and say out loud what you're doing and why, like you would for a new colleague. Incredible follows along and saves the job as a task.
What to teach
This works best on a job you do the same way every time. The details change from week to week, but the steps stay the same.
- A weekly report built from the same sources
- Uploading invoices to your ERP
- Copying order or customer details from one system into another
- Renaming and filing new files
If you do a job differently every time, there's no fixed way for Incredible to learn.
Before you start
- Open what the job needs, like the apps, the spreadsheet or the folder.
- Close what it doesn't, so Incredible only sees the job.
- Know where the job ends, like the report sent or the invoice uploaded.
A step-by-step guide to teaching Incredible tasks
Turn on hands-free mode
On a Mac, press fn + Space. On Windows, press Ctrl + Alt + Space. Incredible keeps listening without you holding anything down, so both hands are free for the task.
Say what you're about to show
"Let me teach you how I upload my invoices to our ERP…"
Do the job and talk it through
Work through it manually the way you always do. Say what you're opening, what you're looking for, and why. Incredible notes every click, everything you type or copy, and each app or tab you switch to, and matches them to what you say.
Finish
When the job is done, press fn + Space again, or Ctrl + Alt + Space on Windows.
Incredible saves the job as a task, and it shows up under Saved tasks in the sidebar. From there you can rename it and change its steps.
Run it on repeat
Ask for the job by name, and Incredible does it the way you showed it.
"Upload this week's invoices."
Incredible follows your steps as instructions, not as a recording of your clicks. If a button has moved or a column has a new name, it still does what each step was for. Anything that sends, pays or deletes waits for your go first.
The task can also run without you asking. Put it on a schedule, or on Autopilot so it runs when something happens.
"Every Monday at 9, upload the week's invoices."
Change what it learned
Say what should be different next time.
"Next time, CC Fredric when the amount is over 10,000."
"Could we change my invoice upload task so it also saves the PDF in the Finance folder?"
Some tips
- Say why, not just what. "I'm pasting this week's totals into the Monday report" tells Incredible the paste is the point.
- Say the exceptions. "If the invoice has no PO number, I email the supplier instead."
- Name things as you use them. Say "the Sales 2026 sheet", not "this one".
- One job at a time. Show the report and the invoice filing separately.
- Start over if you get lost. A messy run teaches a messy task.
- Try it the same day. Run it once while you still remember how you did it.
